Position Summary

Summary:

Supports HR Employee Records and HR Data Management team enterprise-wide (except Rensselaer site). Incumbent is accountable for data accuracy and data integrity. Must be proficient and well-versed in all aspects of administration for human capital management systems. Reports into the functional leader for records and data management team.

Provides support in the following areas:

– Document and Records Management team (formerly Data Services)

– Business Process Management Reporting

– Human Capital Management data integrity, and

– Central mailbox – fulfillment

Responsibilities:

General Responsibilities
Serves as subject matter expert in Human Resource Information Systems (HRIS) databases, software and computer systems to maintain human resources data.
Serves as an expert for HR in the systems of record that houses employee records, applicant tracking systems, payroll systems, background check systems, benefits, and more. Must be able to navigate all systems with high level of proficiency
Responds effectively to employee and manager inquiries related to pre-onboarding, onboarding, status changes, and off-boarding
Resolves problems and strives towards continuous improvement activities on a wide variety of HR processes, issues, or projects.
Provides support to broad-based HR operational programs where assigned

Business Processes
Supports process improvement initiatives for key HR processes and procedures re: pre-onboarding, onboarding, status changes, and off-boarding
Provides input on process improvements
Provides input in the preparation and updating of procedural documents and training guides
Participates in various broader HR initiatives as requested
Liaises with Talent Acquisition and Total Rewards teams to ensure candidate paperwork is completed and closed out

Document and Records Management
Responds to requests related to HR policies, procedures and processes, routine HR questions including, but not limited to benefits, payroll, vacations
Redirect employees to appropriate contacts
Maintains manual and electronic filing systems
HR Self-Service -Personal Information-Manages various validation processes related to name changes and education – Workflows
Audits and reviews the work of other colleagues and is able to provide recommendation for corrective action (includes all separated employee files)
Meets SLA requirements and able to respond effectively to main requests in a timely and accurate manner; knows when to escalate problems effectively as needed
Responds to requests in MYHR mailbox
Non-Employee Optimization Management
May participate in the implementation for new Vendor Management Service (VMS) and enter onboarding, status changes, and off-boarding information Reports and Research
Able to generate reports as needed from applicable HR systems
Conduct best practices research – to maintain and provide expertise
Human Capital Management (CORE HR) and system interfaces
Participates and may be assigned to HCM (ORACLE) missing data/data recovery projects for continuous improvement
Supports other applications such as Guardian system for I-9 and E-Verify, ATS, background check provider

Must have proven expertise and experience in Information Technology (IT) within the function of human resources; d eep subject knowledge and experience with HRIS Systems ( i.e. Workday, Oracle/People-soft)
Must be able to maintain and understand the security of the systems and the architecture of how all the data integrates between systems and external vendors.
Must have very strong computer skills and know how to keep data safe, organized and properly stored.
Must be able to easily troubleshoot problems and work closely with other IT professionals ensure all programs are running smoothly
Math Skills are required to estimate numerical data.

Written and verbal communication skills and ability to present findings or translate data into understandable document. Ability to write and speak clearly and easily communicate complex ideas.
Must have critical thinking skills to understand numbers, trends and problem solve to improve processes across different systems within HR
Must have proven attentiveness to detail to ensure precision and accuracy
Expertise and experience in other human resources functions is a plus.
